What is the difference between a quote, an invoice and a receipt?

A quote is an offer to do work at a stated price, sent before the work. An invoice is a request for payment after you have delivered. A receipt confirms the money arrived. They usually appear in that order, and sending the wrong one changes what you are legally asking the other party to do.

What has to appear on an invoice?

At minimum: your business name and address, the customer's details, a unique invoice number, the invoice date, a description of what you supplied, the amount due, any tax charged, and how to pay you. If you are registered for VAT or sales tax, your registration number is normally required as well. Exact rules vary by country, so check yours if the amounts are significant.

Do invoice numbers have to be sequential?

In most jurisdictions, yes. Numbering must be unique and gap-free so invoices cannot be quietly removed from the record. A pattern like 2026-014 stays unique, sorts correctly and restarts cleanly each January.

Can I add VAT or sales tax?

Yes. You can apply a single rate to the whole document or set a different rate per line item, which covers most VAT and US sales tax situations. Totals and tax subtotals are calculated as you type.

Are these documents legally valid?

They follow standard business conventions and include the fields normally required, but requirements differ by country and by situation.
